This Privacy Policy explains how Silver Isle Marketing Pty Ltd (ABN 67 681 960 154), trading as Outsource2Us (“Outsource2Us”, the “Company”, “we”, “us” or “our”), collects, uses, stores and discloses personal information. We handle personal information in accordance with applicable Australian privacy laws, including, where they apply to us, the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

This Privacy Policy should be read together with our Terms and Conditions.

1. Who We Are

  • Outsource2Us is a trading name of Silver Isle Marketing Pty Ltd, ABN 67 681 960 154, a digital marketing agency based in Queensland, Australia.

  • In this Privacy Policy, “Company” and “Client” have the same meaning as in our Terms and Conditions.

2. Information We May Collect

  • The personal information we may collect includes:
    • name;
    • business name;
    • job title;
    • email address;
    • telephone number;
    • billing and account information;
    • enquiries and correspondence;
    • website and analytics information;
    • information supplied during sales, onboarding and service delivery;
    • information contained in emails and other communications;
    • meeting transcripts, meeting notes, summaries, instructions, approvals, feedback and action items;
    • information supplied to us in connection with marketing campaigns and projects; and
    • other information reasonably required to provide our services.
  • Information supplied in connection with marketing campaigns and projects can include personal information about our Clients’ own customers or enquirers, for example enquiries generated by a campaign we manage. We handle that information on behalf of the relevant Client and use it only as reasonably necessary to provide, administer and support that Client’s services.
  • We do not collect sensitive information, such as health information, racial or ethnic origin, religious beliefs or criminal records, as a normal part of our business. If sensitive information is incidentally provided to us, for example during a meeting or in material supplied for a project, we will handle it in accordance with applicable law.

3. How We Collect Information

  • We may collect personal information through:
    • our website;
    • enquiry and lead forms;
    • email;
    • telephone;
    • Microsoft Teams;
    • Fireflies.ai;
    • meetings and meeting transcription;
    • advertising and marketing platforms;
    • analytics platforms;
    • CRM and project management systems;
    • documents supplied by clients;
    • social media and digital platforms; and
    • interactions occurring during the client relationship.
  • Where it is reasonable and practicable, we collect personal information directly from you. We may also receive it from others, such as your employer, our Client, or the advertising, analytics and digital platforms we use to deliver our services.

4. Meeting Transcription and Recording

  • Client meetings, calls and other communications are routinely transcribed using approved systems such as Microsoft Teams and Fireflies.ai.
  • Participants may receive a notification from the relevant meeting or transcription platform that transcription or an automated meeting assistant is active.
  • To produce a transcript, audio is processed by the approved transcription provider. Depending on the settings of the relevant platform, the provider may also store an audio or video recording of the meeting within that platform. Our primary record of a meeting is the written transcript and associated written meeting records, such as notes, summaries and action items, which we store in our business systems.
  • We may also choose to record the audio or video of a meeting using Microsoft Teams or Fireflies.ai, for example so that a team member can review a discussion, a demonstration or creative feedback. Where a meeting is recorded, participants will be notified by the relevant platform or by us. Recordings are retained in accordance with the Retention section of this Privacy Policy.
  • If you do not want a particular meeting transcribed or recorded, you can tell us before the meeting or when you are notified that transcription or recording has commenced, and we will reasonably accommodate your request where practicable.
  • We retain meeting transcripts and any recordings for:
    • accurate record keeping;
    • recording client instructions;
    • recording decisions and approvals;
    • recording feedback;
    • recording action items;
    • continuity between team members;
    • historical account knowledge;
    • preparation of marketing work;
    • strategy development;
    • quality assurance and training; and
    • efficient service delivery.

5. Artificial Intelligence and Automation

  • Outsource2Us uses artificial intelligence and automation as part of its normal operations and in delivering marketing services.
  • Client information, including information contained in meeting transcripts, correspondence and project records, may be processed using Company-approved artificial intelligence and technology systems where reasonably necessary to provide, administer, support or improve the services we provide to that Client, including for:
    • summarising information;
    • retrieving relevant historical Client information;
    • analysing marketing information;
    • preparing strategies;
    • creating and improving marketing content;
    • creating advertisements;
    • creating website and landing page content;
    • preparing reports;
    • developing campaigns;
    • preparing design and creative briefs;
    • analysing meeting transcripts;
    • identifying agreed actions and decisions; and
    • improving the efficiency and consistency of Client service delivery.
  • We use approved providers and take reasonable steps to assess and manage how Client information is handled by them, including how it is stored, processed and retained. Client information is only used with artificial intelligence and technology systems the Company has approved for business use.
  • We use artificial intelligence and automated systems to assist with marketing and service delivery. We do not currently use personal information in automated systems to make decisions that we reasonably expect would significantly affect an individual’s rights or interests. If that changes, we will update this Privacy Policy.

6. Purposes for Which We Use Personal Information

  • We may use personal information for:
    • providing marketing and related services;
    • communicating with Clients and prospective Clients;
    • account management;
    • billing and administration;
    • marketing strategy and campaign delivery;
    • maintaining Client records;
    • improving our services;
    • internal quality assurance;
    • meeting and project continuity;
    • legal and regulatory compliance;
    • protecting our legitimate business interests;
    • operating and securing our systems; and
    • other purposes permitted or required by law.

7. Disclosure of Personal Information

  • We may provide personal information to service providers that support our business in areas such as:
    • cloud hosting and storage;
    • Microsoft 365 and SharePoint;
    • communication;
    • meeting transcription;
    • CRM;
    • project management;
    • analytics;
    • advertising;
    • email and communications;
    • automation;
    • artificial intelligence;
    • website hosting;
    • payment and accounting services; and
    • professional advisers.
  • Information is provided to a service provider only where it is reasonably required for the relevant business or service purpose. Not every service provider receives every Client’s information.
  • We may also disclose personal information where we are required or authorised to do so by law.
  • We may disclose personal information where reasonably necessary in connection with a proposed or actual merger, acquisition, sale, restructuring or transfer of all or part of our business or assets. Any such disclosure will be subject to appropriate confidentiality arrangements and applicable law.
  • We do not sell personal information.

8. Overseas Processing and Disclosure

  • Some of the technology and service providers we use may store or process information outside Australia.
  • Based on the providers we currently use, the countries in which personal information is likely to be stored or processed include Australia, the United States, member states of the European Union (including Ireland), the United Kingdom, India and Singapore. Some providers may also process information in other countries where they or their sub-processors operate.
  • Where applicable, we take reasonable steps to address our obligations in relation to the overseas disclosure of personal information.

9. Data Security

  • We take reasonable steps to protect personal information against misuse, interference, loss, unauthorised access, modification and disclosure.
  • These steps include using secure cloud-based business systems and access controls that limit access to the people who need it to perform, manage or support our services.
  • No method of storing or transmitting information is completely secure, and we cannot guarantee the security of information held in any system.

10. Retention

  • We may retain personal information, including meeting transcripts and historical Client records, for as long as it is reasonably necessary for the purposes for which it was collected, for ongoing service delivery, for business and project record keeping, to protect our lawful interests, or as otherwise required or permitted by law.
  • Where applicable, personal information that is no longer reasonably required will be destroyed or de-identified in accordance with applicable privacy obligations.

11. Access and Correction

  • You may ask for access to the personal information we hold about you, or ask us to correct it, by emailing team@outsource2us.com.au or writing to us at 16 Queensport Road Sth, Murarrie, QLD 4172.
  • We may need to verify your identity before acting on a request. We will respond within a reasonable period.
  • In some circumstances we may decline a request where we are permitted or required to do so by law. If we do, we will tell you why where it is reasonable to do so.

12. Privacy Complaints

  • We will consider your complaint and respond to you within a reasonable period.
  • If you are not satisfied with our response, and the Privacy Act 1988 (Cth) applies to the handling of your personal information, you may be entitled to contact the Office of the Australian Information Commissioner at www.oaic.gov.au.

13. Cookies, Analytics and Website Technologies

  • Our website uses cookies and similar technologies. A cookie is a small file stored by your browser that helps a website remember information about your visit.
  • We use analytics tools, such as Google Analytics and Google Tag Manager, to understand how visitors use our website, for example which pages are viewed and how visitors arrive, so that we can improve it.
  • We may also use advertising pixels and similar technologies from advertising platforms to measure the results of our own advertising and to show relevant advertising to people who have visited our website.
  • This information is generally collected in aggregated or pseudonymous form. You can block or delete cookies through your browser settings, although some parts of the website may not work as intended if you do.
